For the one to five van shop

Never miss another service call

Your phone gets answered 24/7, in English or Spanish. The AI knows your repeat callers, reads your live dispatch board, and books the job while you are still up in an attic.

$7 today, credited in full toward your first month. 20 AI voice minutes and a real phone line included. Cancel anytime.

Before you type a card number

Call it yourself and hear it answer

(818) 805-2450

Call the number below and you will reach Chris, HVAC HQ's AI. Ask for a demo and it will become the front desk of a made-up company, Northside Heating & Air, so you can hear exactly what your own callers would hear. Ask it to stop any time, and it goes back to being HVAC HQ.

It costs you nothing and asks you for nothing. No form, no email address, no follow-up sequence. It is the same line answering for contractors right now, which is also why it might take a second ring.

A homeowner standing in a dim living room in the middle of a hot day, seen from behind, phone held to their ear while hard bars of sunlight come through the shut blinds.

The AC quits at 11am

It is a hundred degrees out and your phone has not stopped since seven. You are up in an attic with both hands full when the next one rings out, and that homeowner does not leave a voicemail. They call the next name on the list, and that shop answers on the second ring.

A technician carrying a tool bag up a suburban driveway toward a lit house at dusk, his white service van parked at the curb behind him.

Somebody is on the way, inside the window

The call got answered, in English or Spanish, by an AI reading the live dispatch board. It offered only the arrival windows that were genuinely free, and the one the homeowner picked went to a tech certified on that equipment. Nobody was standing at a whiteboard guessing what was open.

Two people at a kitchen table under a warm lamp, one of them signing an estimate on a phone lying flat between them, the screen glowing green.

Signed at the kitchen table

The technician sends the estimate to the customer's phone, and they sign it right there: no app to download, no account to create. It is logged with a tamper-evident record, so if a line item changes later, it shows exactly that: altered since signing.

The math on a missed call

Enter your own numbers. What comes out is your arithmetic, run through one outside study on what happens when a call goes unanswered.

Unanswered calls in a typical week

Count calls nobody picked up: nights, weekends, or when the office line was already busy. Think about a normal week, not your worst one.

5
Average job value

Somewhere between a quick repair and a full install. Use your real average, not your biggest ticket.

$350

Value of the calls that likely went to a competitor, per year

$56,420

This is our arithmetic on the numbers you entered, run through one outside study. It is not a claim about what HVAC HQ does for your shop specifically.

How we got this number

Here's the arithmetic, out in the open:

1. Unanswered calls in a week × 52 weeks = unanswered calls in a year.

2. Unanswered calls in a year × 62%, the share of callers who call a competitor next after a call goes unanswered (Aira, business call-handling research) = calls that likely went to a competitor.

3. Calls that likely went to a competitor × your average job value = the number above.

4. For the monthly view, we divide that number by 12.

Industry-wide, 80–85% of callers hang up the moment they hit voicemail, without leaving a message, according to Foxtrove / AgentZap's call-handling research. So the count you typed above is probably light. The callers who hung up on your voicemail did not leave anything behind for you to count.

For comparison

Industry-wide, missed calls cost small home-service businesses an estimated $45,000–$126,000 a year, according to Aira / Callsetter's missed-call cost studies.

That figure is not part of the math above it. It comes from a different study, across the whole industry, not from your inputs.

62% of HVAC service inquiries come in outside the standard 8-to-5 workday.

From the first ring to getting paid

Replaces the answering service, the whiteboard, the spreadsheet and the paper price book.

Emergency Triage

Gas, CO, smoke or no heat in freezing weather jumps to the top of your board. For gas, CO or smoke, the caller is told to get out and call 911, in their language.

Skill-Matched Dispatch

Arrival windows you define, two-hour out of the box, assigned to a tech certified for that equipment. Each job carries how long it takes on site, so a long repair occupies the later windows it actually needs and a job that cannot finish before closing is refused. A window that's taken can't be offered again, not by you, not by the phone line, not by your website.

Margin-Held Price Book

Import your supplier's price sheet, set a target margin, and retail recalculates from wholesale across the whole catalog.

Sign on the Spot

Send the estimate to their phone and get it signed at the kitchen table, with a full audit trail and tamper-evident record. Offer two or three named packages on one link, with an optional percent off on a package and saveable Good/Better/Best sets so you do not retype them. The customer picks one before they sign. Growth and up also send any PDF you already use the same way: placed fields, several signers, a countersign, and optional package choices on the envelope when the form already shows tiers.

Card Payments, Your Keys

Connect your own Stripe or PayPal and a card can pay the balance on any estimate or invoice: receipt emailed, ledger updated, and the money lands in your account, never ours. The screen then reads that account and tells you when your bank actually gets paid. Cash and checks share the same ledger, with a bookkeeper-ready CSV out.

Van Inventory

Per-van counts of every part on your vans, one number per SKU per van, typed in or pasted by SKU, with a low-stock alert before somebody rolls out short. Every scan, restock and transfer writes to a movement ledger. Finishing a job with a SKU on the wrap-up note takes that part off that van.

Your Office Manager

Ask what to focus on and the answer comes from your own jobs, calls and money, not a generic tip. Industry research is quoted with its source named, and everything it remembers you can read and delete.

Write to Your Customers

Compose from the app, pick customers or a whole audience bucket, send from your own verified domain once connected. Ready-made templates, a Write-it-for-me draft, automatic flows when someone comes due or a job completes, an inbox for replies, and a sent list that says what went out. Texting is built and waiting on carrier registration; nothing texts anyone yet.

A Portal for Every Tech

Today's jobs on the phone already in the van: status from the driveway, photos, parts used, clock in and out, and their own pay stubs. Techs sign in with the portal code and their PIN, and they are free: only vans count against your plan, so a second pair of hands on a van costs nothing and both of them see that van's day.

How we stack up against what you are probably paying

ServiceTitan is a capable platform built for a shop that is probably not yours: eight or more vans, several million a year, office staff to run it. Here is the honest grid, including the three rows where they win.

Every figure in the other three columns is a reported figure, not ours, taken from published pricing breakdowns and public review records as of mid-2026. Their terms are theirs to change, so check the current ones before you decide anything on the strength of this table.

The three rows marked "Not us" are things they do and we do not, and we would rather you read them here than find them in week two. What switching from ServiceTitan actually looks like, including what your data does on the way over.

Pick the one that fits your shop

Every plan answers your phone in English and Spanish, fills your board, runs your customers and gets you paid. Tiers differ by how many vans you run, how many AI voice minutes you get, and a short list of features only a bigger shop needs. Each tier includes everything in the one below it. You are billed by vehicles, never by people: office logins and technicians are both unlimited, and two techs riding one van count as the one van they drive.

What $7 buys you for 7 days

  • A real phone number, provisioned and answering, not a sandbox
  • Your own business number forwarded onto it if you want the honest test, on the calls you actually get, and switched back at your carrier with one code
  • 20 AI voice minutes, enough to call your own receptionist and book a job through it
  • Everything in whichever tier you pick, with its van count from day one
  • Your board, your price book and your customers imported from the CSVs you already have
  • The $7 credited in full against your first month, so the test drive costs nothing if you stay

Prefer to hear it before you type a card number? The demo line above answers right now and asks you for nothing.

Founding shops

11 of the first 25 founding-shop spots are still open

  • Today's price, held. Whatever we charge later, you keep the number you signed up at for as long as you stay.
  • Setup done with you, on a call. Your price book, your customer list and your phone line, configured together with one of us rather than handed to you as a help article.

The cap is real and here is why: that second one is a person doing it, and there are only so many hours in a week. When the 25 are gone this section comes off the page.

If it does not do what we said, you get the month back

30 days from your first full charge. If it is not doing what we said, tell us and we refund that month's plan fee. Minute packs are not refunded, because those minutes were already spoken.

Written into the Terms of Service, not just onto this page. Refunds are handled by a person: email us and we do it, there is no form to lose.

The questions people actually ask

The short answers. Every one of these has a longer version, and a few more besides, on the full FAQ.

What happens on day 8?

Your card is charged the plan price minus the $7 you already paid, and the test drive becomes a subscription. Cancel any time before then from Settings and nothing further is charged. If you do nothing and later change your mind, the 30-day guarantee above still covers that first month.

How fast can I actually be running?

Signing up takes a couple of minutes and your own empty board is one click away. Add one technician and it can take work the same day, with arrival windows and working days already defaulted. Your price book fills from the supplier CSV you already get, and your customers, job history and open estimates import from their own CSVs. The AI phone line takes longest, because provisioning rents a real number and the receptionist still has to be installed on it afterwards.

Do my customers have to learn a new number?

No. Your number stays with your current phone company, and you forward it to the line HVAC HQ rents you, usually by dialing *72 plus the new number from the business phone. Every call to the number on your vans is answered by your receptionist, and switching forwarding off again is just as quick. Calls the receptionist places do show the new number, and if you ever want your old number moved over entirely, that is carrier paperwork we help with, and the number stays yours.

What if the AI books something that does not work?

It books into the same board your dispatcher looks at, and it obeys the same conflict, capacity and closed-day rules your own reschedule button obeys, so a caller and a dispatcher can never be told two different things about one slot. When somebody rings back to move or cancel a visit, it does that on the call and the board changes before they hang up. It offers another time before it will cancel anything.

Does it really speak Spanish, or is that a translate button?

It greets in English, and the moment a caller speaks Spanish it switches and stays switched for the rest of the call, so nobody gets dropped back into English halfway through. Booking confirmations and the life-safety instructions are spoken from written translations somebody reviewed, never improvised on the fly. A customer served in Spanish once is greeted in Spanish next time, before they say a word.

What about an emergency at two in the morning?

A gas smell, a carbon monoxide alarm, smoke or no heat in freezing weather is recognised on the call and put at the top of your board, and the caller is told to leave the building and call 911, word for word, in their own language. If you have saved an on-call mobile, your line then rings it, up to three times, ninety seconds apart, stopping as soon as somebody picks up. Picking up is not the same as going, so keep your phone tree.

What does it not do?

It sends no text messages to your customers, and nothing will text anyone until carrier registration clears. It has no live distributor or EDI price feed, so the price book updates from the CSV your supplier sends. It has no consumer financing flow, so a customer who needs financing is handed to your own provider. It does not run direct deposit. And it holds no SOC 2, ISO 27001, HIPAA or PCI certificate, so there is no badge on this page pretending otherwise.

A father, a son, and thirty years of missed calls

One of them spent three decades selling to HVAC contractors and kept hearing the same story: the call that got away. The other writes software, and got tired of hearing it secondhand. Only one of them has an AI receptionist named after him.
